  • 2 per "shift" to allow others to attend Meeting
BEFORE EVENT
Pre-preparation1. Liaise with Area Meeting Clerk re day's programme:
  • start time of Elders and Overseers Meeting (or other Meetings requiring a warm welcome)
  • start time of Area Meeting,
  • scheduled lunch break
  • end time
  • expected number of people
2. Liaise with Wardens re:
  • provision of milk, biscuits etc,
  • putting-out of cups and saucers, kettles,
  • setting out of tables and chairs
3. Ask person reading notices during Meeting (often Rich Braun) to:
  • Read out information in box below for people attending event
Information to provide to people attending event
  • Tea'n'Coffee will be available:
    • from half an hour before meeting
    • during lunch
    • after meeting
  • Remember to bring your own packed lunch
  • Some cakes are welcome
Information needed from people attending event
  • Special dietary needs (Always provide at least one item that is gluten and dairy free)
  • Access needs (or is this for the Wardens?)
DAY OF EVENT
Preparation time before eventAt least half an hour before tea is needed,
e.g. if Meeting is at 11am then tea is served from 10.30 and we should be there from 10am.
Food required: Type, quantity, etc.
  • Biscuits are provided by wardens
  • Cakes are requested from attendees
  • For any emergency purchases, keep a receipt to claim back expense from Treasurer (Ask D. Suffling)
Drinks required: Type, quantity, etc.No alcohol or in food.
Layout of tables and chairsResponsibility of wardens
What needs to be doneWe are responsible for:
  • Serving tea, coffee and biscuits to welcome members to Area Meeting and any other earlier groups that may be meeting earlier in the day.
  • Serving can be done in shifts if there are enough people helping.
  • Servings are at the following approximate times. (Exact times will be known after liaising with Area Meeting Clerk in Pre-preparation step.)
    • from half an hour before meeting (approx 10.00 - 11.00)
    • during lunch (approx 12.45 - 1.45)
    • after meeting (approx 4.00 - 5.00)
  • Clearing away and washing up. NB Attendees will often help out.
We are not responsible for:
  • Buying tea, coffee, milk or biscuits. Wardens do this.
  • Setting out cups and saucers, tables and chairs. Wardens do this.
  • Providing cakes. Members do this.
